1. General

The 10th Meeting of the European Astronomical Society (EAS) will be held in Munich, Germany, jointly with the 75th Annual Assembly and International Scientific Meeting of the Astronomische Gesellschaft (AG). The Conference will cover the basic fields of astronomy and astrophysics related to the recent and future advances of large ground based and space telescopes. It is open to all astronomers who would like to interact and exchange their scientific expertise with their European colleagues, and should provide an excellent opportunity for astronomers from all over Europe to advance their research and strengthen cooperations.
During the Conference, both the fundamental astronomical knowledge and the exciting new results in experimental and theoretical astrophysics will be presented by experts in the field. Highlights from younger scientists originating from European institutes and mini-symposia covering a number of more specific topic will be organised, and space and time for poster presentations will be provided.
The city of Munich and its neighbouring town of Garching form one of the centres of astrophysical research in Germany. JENAM2001 will be jointly hosted by Max-Planck-Institut für Astrophysik (MPA), Max-Planck-Institut für Extraterrestrische Physik (MPE), European Southern Observatory (ESO), all in Garching near Munich, and the Universitätssternwarte München (USM).




2. The Conference Site

Munich is the capital of Bavaria, the largest German state. With a population of 1.25 million it is the third largest city in Germany. Munich is a very attractive city, in particular it has a very active cultural life. However, some theaters or the opera might be still in its summer break at the time of the meeting.
Munich has a very well functioning public transportation system. It can be reached by car, bus, train or air. Its international airport is directly connected to the city centre by rail (S-Bahn). It has international and national fast and comfortable train links (Inter-City-Express, Euro-City) to many major European cities.




3. Conference Location

The conference will be held in the buildings of the Ludwig-Maximilians University in Munich. The buildings are located in downtown Munich, within 15 minutes walking distance of `Marienplatz' which is located in the very center of Munich. All buildings can conveniently be reached by public transport and car, though parking space may be rare and rather expensive.

4. Scientific Sessions

  1. AG prizewinner's lectures

    The Karl Schwarzschild Lectures constitute a special series of invited reviews delivered by outstanding scientists who have been awarded the Karl Schwarzschild Medal of the Astronomische Gesellschaft, whereas excellent young astronomers are honoured by the Ludwig Biermann Prize. This year's Medal winner is Prof. Keiichi Kodaira. The title of his talk will be: ``Macro- and Microscopic Views of Nearby Galaxies''

  3. Highlight Talks

    One of the topics of the scientific sessions of JENAM 2001 will be the highlight talks. Highlight talks are plenary talks and should give outstanding young astronomers (not older than 35 years) the possibility to present their own work to a plenary auditory. There will be up to eight highlight talks. Highlight talks have been part of Astronomische Gesellschaft meetings for more than a decade. Highlight talks will be published in the review series of the Astronomische Gesellschaft Reviews in Modern Astronomy, volume 15.

    Suggestions for possible speakers can be made by any European institution for astronomers working at the respective institute. The selection of the highlight speakers will be done by the Scientific Organizing Committee. It is expected that the travel costs for the highlight speakers will be covered by the proposing institutions. In justified cases travel grants can be given.

    Proposals for highlight speakers should be sent to the chairmen of the Scientific Organizing Committee of JENAM 2001, Profs. Erwin Sedlmayr (Berlin) or Jean-Paul Zahn (Meudon). They should include the speaker, its age, the topic of the talk, an abstract and a short justification of the proposal. Deadline for proposals is March 31, 2001.

Abstracts of the Invited Reviews, Highlight Talks, talks presented at the Mini Symposia, and of posters will be published in the Abstract Series of the AG. They will be handed out at the meeting upon registration. In addition, they will be published on the web about three weeks before the conference.
For submission of the abstracts the AG-macros HAVE TO BE USED. The macros can be retrieved from the website of the AG. The abstracts have to be composed in the English language and no figures are allowed. Abstracts for talks and posters should be submitted by email to the secretary of AG, schie@astro.uni-jena.deDr. R. Schielicke, Jena, and to the convener(s) of the individual Mini Symposia and Joint Discussions, if the author intends to link the paper to one of the MS or JD. Poster abstracts not linked to any MS or JD should be submitted to the secretary of the AG only.
The deadline for the submission of abstracts is July 13, 2001. Abstracts submitted after this date cannot be accepted any longer for the the Abstract Series of AG. However, depending on the conveners of the Mini Symposia and Joint Discussions they still might be accepted for a talk or a poster in the corresponding session.




7. Proceedings

The plenary lectures of JENAM 2001 (Karl Schwarzschild Lecture, Lecture of the Ludwig Biermann Prizewinner, invited and Highlight-talks) will be published in volume 15 of the ``Reviews in Modern Astronomy'' in summer 2002. EAS is presently investigating with several publishing companies the possibility to start a Conference Series. In case of a positive outcome proceedings of Mini Symposia and Joint Discussions could be published in such a Conference Series. EAS will inform the community in due time.




8. Social Events

Welcome reception
Upon registration on Sunday afternoon (for details see 3rd announcement) there will be a small reception with some snacks and drinks in the building where the registration will take place.

Official excursion
On Wednesday afternoon (September 12; starting 15:00) there will be a joint excursion of conference participants and guests. It is planned to go by buses to Lake Starnberg, one of the beautiful lakes in the surrounding of Munich. On Lake Starnberg we shall have a boat trip. Afterwards the participants will go by buses to Kloster Andechs, which is an old monastery famous for its beer where we shall have dinner. The buses will return to Munich by about 23:00.
Transportation for this excursion will be free of charge for registered participants and accompanying persons. The dinner at a traditional restaurant nearby Kloster Andechs will be typical local Bavarian food `a la carte'. The costs for the food (and the drinks) will have to be payed by the participants themselves.
Since both the boat and the restaurant at Kloster Andechs will have some space limitations (450-500 people), pre-registration for the excursion is urgently needed. Participation will be on a `first come, first serve' basis. Upon registration 20.00 DM have to be pre-payed for the dinner. Each participant will get a voucher on this amount which can be used for the dinner at Kloster Andechs.

Additional tours:
In addition to the official meeting excursion the meeting organiser CSM is offering a city tour and a tour to the famous Neuschwanstein Castle. For both tours a minimum number of 25 participants is required. If this number is not reached, CSM reserves the right to cancel the tour. Prepaid fees will be fully refunded. Since the number of 25 participants has to be reached at latest by September 1st, the organizers urge all interested persons to register for any of the two tours as soon as possible.

City-Sightseeing Tour: Munich and Nymphenburg Castle on Monday, 10 September, 2001, 1.30-4.30 p.m. Price per person: 36,00 DM (incl. bus, english speaking guide, entrance fee): This sightseeing tour will show you a wide selection of famous monuments and attractions, including the district ``Schwabing'', the Royal Palace ``Residenz'' and the city centre ``Marienplatz'' with its beautiful churches ``Frauen-'' and ``Theatinerkirche''. You will also visit ``Nymphenburg'' Castle, the former summer residence of the royal family with its noble halls and the wonderful park.

Tour Neuschwanstein Castle on Thursday, 13 September, 2001, 9.00 a.m.-6.00 p.m. Price per person: 130,00 DM (incl. bus, english speaking guide, entrance fee, lunch): This tour through the alpine landscape will lead us first to the magnificent Rococo ``Wies''-church. Afterwards you will visit one of the most spectacular monuments in Bavaria, the fairy tale castle of ``Neuschwanstein'', built by King Ludwig II. Lunch will be served at a traditional restaurant nearby the castle.




9. Registration

Registration for JENAM 2001 is handled by CSM Congress and Seminar Managament. All payments for JENAM 2001 have to be made to CSM.

10. Registration Fee

Registration fees will be:

Members of AG and EAS:   150.00 DM
Students:   80.00 DM
Other:   180.00 DM
Accompanying Persons:   60.00 DM


The registration fee for JENAM 2001 includes the abstract booklet, coffee breaks, and transportation to Starnberg (boat trip) and Kloster Andechs on Wednesday afternoon and a welcome reception upon registration on Sunday afternoon.




11. Accommodation

Bulk reservations have been made in three hotel categories: First class (single room 220-265 DM per night / double room 260-290 DM per night), middle class (175-215 / 210-270), and standard class (125-170 / 170-210). Prices are quoted per room per night incl. breakfast and VAT. All hotels are within walking distance or no more than 20 minutes by public transportation.
Please, book your hotel room at the Conference Office CSM, using the registration form enclosed. Should you have any questions concerning the hotel reservation please contact CSM. CSM will try to find rooms for each participant in the category she/he wishes. However, since September is high season in Munich, we recommend to book your room as soon as possible. Hotel reservations require a deposit of 250.- DM per room.




12. Payment

Payment of the registration fee has to be made immediately upon registration to the account of CSM, C. Schroettenhammer, HypoVereinsbank München, bank code 700 202 70, account no. 46 58 51 00. Please, indicate the code ``JENAM'' and the name of the participant.
Also the following credit cards are accepted:
EURO/Master, AMEXCO, VISA




13. Cancellation

All cancellations must be made in writing to the Conference Office CSM. For cancellations received before August 17, 2001, a refund of 80% will be granted. No refunds can be made for cancellations after that date.




14. Visa

Visa may be required for citizens of several European and overseas countries. Please contact your local German Consulates beforehand (typically no less than one month in advance). Please contact LOC for visa assistance if required.




15. Financial Assistance - Travel Grants

A limited amount of financial support for young astronomers will be provided from the European Astronomical Society, the German Science Foundation (DFG, special fund to promote cooperation with central and eastern European countries), and from Astronomische Gesellschaft.
We apply similar rules as the IAU for their symposia for our travel grants.
Grants will be paid to participants upon arrival. A receipt has to be signed for each grant by the person who received the money. Since the total amount of grants available is small compared to the expected needs, we can only contribute to the cheapest means of transportation and cheapest kind of accomodation.
It is a requirement that the applicant presents a poster or gives a talk and that no sufficient other sources for funding the participation at JENAM 2001 were available.
We are committed to give the majority of our grants to people younger than 35, according to the rules enforced by the funding sources.
Grants will be given (like in the case of IAU) to a variety of nationalities and scientific fields. Also a balance in gender distribution is respected.
Applications for travel grants are being reviewed by the JENAM SOC and the Mini Symposia Conveners in collaboration with the EAS and AG.
Grants will be given in DM (German Marks). Once the amount has been fixed in DM, unfortunately, no responsibility can be taken for changes of currency exchange rates.




16. Application for Financial Assistance

The Financial Assistance Form (pdf) has to be used by applicants. Deadline for application is April 30, 2001. Later applications have no guarantee to be considered in time.

A third announcement with detailed information on the scientific programme, localities and travel recommendations will be published on the web a few weeks before the conference.
